What you need to know

It is our wish that you thoroughly enjoy your Dynamics event or holiday and therefore we would urge you to read the following booking conditions and important information before booking your event or holiday. Your event or holiday contract will be with Dynamics Hosted Social Events & Holidays Ltd trading as Dynamics whose registered office is Bay Lodge, 36 Harefield Road, Uxbridge, UB8 1PH, If there is anything you do not understand or want to know, please contact us as soon as possible. The following conditions, together with the relevant information set out in our brochure and on our website, will form part of your contract with Dynamics Hosted Social Events & Holidays Limited.

The following terms and conditions along with the ‘useful information’ and ‘frequently asked questions’ sections of this guide / on our website / confirmation invoice / pre-event or holiday pack (together with the ‘conditions of booking’) will apply to your booking.

Our conditions of booking are reviewed and updated from time to time. We may make changes to the conditions of booking so that they are as up-to-date as possible in order to comply with law and so that we continue to provide you with relevant information about your booking.

The conditions of booking in force at the time when you make your booking are those that apply to your booking, unless we provide you with a copy of our new conditions of booking. Please remember to read and check the conditions of booking each time you make a booking with us as they may have changed since your last booking.

There will always be one if not two Dynamic hosts on hand for all events or holidays featured in our brochure or website.


Flights are not included in the holiday package as we believe that the introduction of low cost air fares means that our customers should have the opportunity to book their own flights at better prices.

You may wish to book directly with the airline or an agent and we will give you every help to do so.

The contract for your flights will therefore be between you and the airline or agent rather than with us and will be governed by the terms of the particular airline or agent.

How to pay

Payment can be made by bank transfer, debit or credit card. Prices in the brochure and web site are all ‘from’ and a guide price.

Travel Insurance

It is a condition of booking that you are adequately insured for your holiday or event with Dynamics. You should be protected against, without limitation, the cost of cancellation and repatriation in the event of accident or illness, medical expenses and other losses which you may suffer on holiday.  We are not liable for any losses or expenses you may incur.

Booking Conditions

When you make a booking, you guarantee that you have the authority to accept and do accept the terms of these booking conditions. Your contract with Dynamics is made once the following steps have been fulfilled: a) You have paid the required deposit together with the correct insurance premium (if required) b) Dynamics Hosted Social Events & Holidays Limited confirmation invoice has been sent to you. Your contract with Dynamics Hosted Social Events & Holidays Limited commences on the date of issue of your confirmation invoice. You must check your invoice carefully and raise any queries with Dynamics Hosted Social Events & Holidays Limited immediately upon receipt. This contract is made on the terms of these booking conditions, which are governed by English Law, and the jurisdiction of the English Courts.

How To Book

A) Select your event or holiday and date from our Brochure and carefully read these Booking Terms and Conditions as you will be asked to confirm that you accept them at the time of making your Reservation.
B) Call 020 3475 3564 and we will guide you through making your reservation.
C) The person making the reservation & all guests must be aged 18 or over and have the authority of all persons named on the reservation to commit them to these Terms and Conditions.
D) You may pay the deposit by Debit, Credit Card or bank transfer this is due immediately you confirm your reservation. If you are making a reservation within 70 days of the start of your event or holiday, full payment is due

Due to credit card transaction charges, where you choose to pay by credit card a charge of 3% will be made in respect of each payment made. There is no charge for debit cards


A deposit is required to be paid for every adult on the booking.  £75 on events or holidays of one night or less in duration & £100 on all other breaks.  The deposit paid (or due) will be shown on your confirmation.  Deposit payments are non refundable.

Balance of Holiday Cost

The balance of the event or holiday cost (event or holiday charges, plus Holiday Protection, accommodation or other supplements and additional chargeable items, less any deposits paid) will be detailed on your confirmation that we will send you. The balance of your event or holiday cost must reach us not later than 10 weeks (70 days) prior to the start of your event or holiday. Reminders are not sent so please keep your confirmation in a safe place. If the balance of your holiday is not received in full by this date we reserve the right to treat your reservation as cancelled and to apply the cancellation charges set out in the ‘Cancellation By You’ paragraph. If your reservation is made within 70 days of the start of your holiday the balance is due immediately. Within 14 days of arrival Debit or Credit Card payment is required at the time of making your reservation.

Payment of Holiday

Payment may be made using most Debit Cards or Visa and Mastercard Credit Cards or bank transfer. At the time of making your reservation or at anytime before the balance is due you may give Dynamcs the authority to debit your Debit or Credit Card with any outstanding balance automatically on the day the balance is due.

If your payment is returned unpaid by your bank or card provider, we may have to charge a £30 administration fee, or even cancel your booking.

Confirmation of Booking and Your Contract

When you make your reservation by telephone you will be required to confirm your booking and by doing so you will be entering into a Contract with Dynamics Hosted Social Events & Holidays Ltd and these Booking Terms & Conditions will apply. If for any reason in the future you have to cancel your reservation, cancellation charges will be incurred. In all cancellation circumstances the deposit payment is forfeited. This contract is governed by English Law and is subject to the exclusive jurisdiction of the Courts of England and Wales.
On receipt of your deposit, we will send you written confirmation of your reservation.

Price Promise

The prices shown on this website supersede and update all previous publications. All prices are per person for the duration shown. We reserve the right to alter all prices at any time before confirming your reservation. The price of your event or holiday shown on your confirmation (event or holiday charges, plus Holiday Protection, accommodation, other supplements and additional chargeable items) will not be changed except through governmental action (e.g. an increase in the rate of VAT).

Promotional Discounts

Any promotional discounts published by Dynamics Hosted Social Events & Holidays Ltd cannot be used against any existing bookings. Promotion discounts can only be used by the person they have been sent to and are not to be used in conjunction with any other offer. If a promotion discount code is published, the code is to be mentioned at the time of booking, discount cannot be adjusted at a later date. All offers are subject to promotion availability rate and we reserve the right to withdraw or amend without prior notice.

Amendments to Your Reservation

After your confirmation has been issued you may wish to make some amendments to your reservation. We will try to meet with your request; but we regret that it may not always be possible. You must e-mail or write to us with details of the alteration requested at least 70 days before departure. A charge of £25 per person per amendment will be made. Where major amendments (change of date or duration), are made within 70 days of the start date of your holiday, this will be treated as a cancellation and subject to the ‘Cancellation Charges’ shown.

Cancellation by You

It may be necessary for you to cancel your event or holiday. In the event of cancellation your Deposit and any holiday protection premiums are not refundable. If you cancel within 70 days of the start of your event or holiday you will remain liable to pay the full event or holiday cost.

Cancellation (by You) Charges

The following charges apply to all cancellations by you:Cancellation up to 70 days prior to the holiday or event date: Loss of deposit and any Holiday Protection premiums.

Cancellation within 70 days of the holiday or event date: Total Holiday Cost (event or holiday charges, plus any Holiday Protection, accommodation or other supplements and additional chargeable items).

Cancellation After Start of Event or Holiday

Where a guest detailed on your Reservation has to cancel their holiday after commencement due to any reason refunds are not given.

If We Change Your Reservation

Very occasionally, it may be necessary for us to make changes to holiday details and to our brochure both before and after your reservation has been confirmed. As this is usually the result of circumstances totally outside of our control, we must reserve the right to do so. Most changes will be of minor nature. If however there is a particular service or facility that you require or anything which you feel is a major reason for selecting the particular Dynamics Hosted Social Events & Holidays Ltd you are requested to confirm with our office, in writing, at any time prior to arrival that a particular service or facility is available for your holiday date. We undertake to acknowledge in writing all such requests. Should you not make any such request in writing, it is contractually agreed that the provision of any such service or facility is a minor part of your overall Dynamics Events or Holidays. In the rare event of our having to make a major change, we will notify you as soon as possible. We will then offer you the choice of:

  • A) Accepting the changed arrangements or
  • B) Purchasing an alternative event or holiday, if available, (and paying or receiving a refund in respect of any price difference) or
  • C) Cancelling your holiday and receiving a full and prompt refund of all monies paid.

We regret we cannot be responsible for any costs and expenses you may incur as a result of any change.

If We Cancel Your Reservation

Very rarely we may find it necessary to cancel holidays or events and we must reserve the right to do so. However, we will only cancel holidays or events if:

  • A) You fail to make payment in full and on time
  • B) If we are forced to do so as a result of unusual and unforeseeable circumstances beyond our control, the consequences of which we could not have avoided even with all due care or
  • C) It is possible we may cancel a particular event or holiday if we have sold insufficient capacity of available places to enable that event or holiday to be operated within an acceptable standard of both atmosphere and viability. In the event of cancellation (other than due to your default in payment) we would then return to you all money you have paid us, or will offer you an alternative event or holiday of comparable standard. No liability for any other costs which may arise from such cancellations can be accepted by us.

Events beyond our control

We will not be liable to you in any way if we have to cancel or change your booking because of unusual or unforeseeable circumstances beyond our control. These can include, for example, war, riot, industrial dispute, terrorist activity and its consequences, natural or nuclear disaster, fire, adverse weather conditions, epidemics and pandemics, unavoidable technical problems with transport.

We will not be liable to you in any way if there is a change or cancellation of tribute Acts to those promoted.  If we are made aware of any changes or cancellations prior to the event or holiday we will inform you.  Occasionally this could happen on the night due to unavoidable circumstances out of our control.


We sincerely hope you will not encounter any problems during your event or holiday, but in the unlikely event that you do, you must notify us immediately,this must be brought to the attention of Dynamics hosts and hotelier if relevant. Most problems are capable of being remedied on the spot and we will do our best to rectify the problem.   Failure to report your complaint in this way may jeopardise any future claim. Should however, you remain unhappy, you must put an unresolved complaint in writing to us within 28 days of the end of your holiday addressed to The Guest Services Manager. We will then investigate the matter so that an amicable resolution can be reached if at all possible. We regret we cannot accept liability if you have not notified us in accordance with these Booking Terms and Conditions.

Sightseeing and excursions

These include, but are not restricted to, any sightseeing trips, events or other tours attended for which additional payment is required. Sightseeing and Excursions can either be booked locally or pre-booked and paid for when you book your Package with us (“What’s included” items). All sightseeing and excursions are supplied by third party suppliers and are subject to the relevant sections of these conditions. We accept, subject to these conditions, responsibility for pre-booked sightseeing and excursions. We do not have any responsibility or liability whatsoever for anything which may go wrong on a sightseeing and excursion. We, our Hosts, suppliers, employees or agents are acting, depending upon the actual sightseeing and excursion booking, either as agents for the relevant sightseeing and excursion supplier or as an agent for you. In any event, the contract for any resort-booked sightseeing and excursion booking is between you and the sightseeing and excursion provider. It is your responsibility to note carefully any conditions of contract contained in any resort-booked sightseeing and excursion, literature, ticket or receipt you are given.

Included in your holiday/event price

Details of what is included in your holiday/event can be found on the brochure page or on the website. The following items are examples of what is not included: holiday insurance, personal expenses, gratuities, local charges for facilities and equipment, sightseeing and excursions.

Dynamics prices

Prices published in our brochure and appearing on this website supersede those printed in all previous editions of Dynamics literature. For current prices, (subject to availability) please visit www.dynamicssolotravel.co.uk or contact reservations on 020 3475 3564. We reserve the right to alter the prices of any of the holidays/events shown in our brochure or on our website. You will be advised of the current price of the holiday/event that you wish to book before your contract is confirmed.

Dynamics gift cards

The value of a gift card can be exchanged against holidays and events being operated by Dynamics Hosted Social Events & Holidays Ltd in the UK or abroad as long as the card has not expired.  If the holiday or event are of a higher price than the face value of the card then payment of the difference will be required.  Gift cards cannot be used for the purchase of other gift cards, vouchers or excursions or additional services.  The gift card value cannot be exchanged for cash.  We do not give change, cash or debit/credit card refunds on gift card transactions. Dynamics Hosted Social Events & Holidays Ltd are unable to replace or reimburse the value of the gift card if it is lost, stolen or damaged.  The card value will expire 24 months from issue and cannot be extended.  For full terms and conditions please refer to Dynamics Hosted Social Events & Holidays Ltd.  If you would like help using your Dynamics Hosted Social Events & Holidays Ltd gift card call us on 020 3475 3564.

Minimum numbers

All holidays and events are based on a minimum number and Dynamics reserve the right to cancel an event or holiday if such numbers are not reached.  You will then have the choice of booking an alternative break with us, changing your departure date at the appropriate additional cost or a reduction depending on cost, or a full refund.


Where Dynamics has exclusive use of a property, this means that normally no other paying guests are resident, but please note the hotel owner reserves the right to welcome family/friends to the property. If we have not sold all our rooms, we give any unsold rooms back for the hotel to re sell to direct clients.

Inappropriate Behaviour

If the behaviour of any member of any party is considered likely to cause offence, danger, damage or distress to others we reserve the right at all times to cancel or terminate a person’s event or holiday completely. If this situation arises, our responsibility will cease and the company will be under no obligation to cover expenses incurred and neither will we consider or accept any claims for compensation or refunds whatsoever.


All bookings are subject to availability and Dynamics reserve the right to decline any booking at its discretion.

Security of your personal belongings

Please note that your personal belongings are your responsibility during your event or holiday. We recommend that you take out appropriate holiday insurance to cover your belongings during your event/holiday. We accept no liability for any accident, loss or damage to your belongings.

Health & Safety and Security

Your health & safety and security is important to us, we want you to enjoy yourself whilst feeling safe and secure.

If you have any health, dietary or other requirements please let us know at time of booking. If you have any questions or concerns please do not hesitate to contact us by email or phone.

Welcome Meeting & Briefing

Health, safety and security information relevant to each event will be provided at our welcome meetings or pre-dinner drink briefing. Your hosts will inform you of safety and security procedures and you will be provided with details as how to contact either hotel reception or your hosts in an emergency.

The briefing will cover other aspects such as use of leisure facilities, action in event of illness, accident or fire& theft.

We appreciate you are attending our events to have fun and enjoy yourself but health & safety briefings are essential and for your welfare, please do attend.
If you are unable to attend the welcome meeting/briefing our hosts will be very happy to brief you on a one to one basis.

Prize Draws

All prizes will be subject to our T&C’s above.  Entrants should be over 25 years of age, single or solo travellers and UK residents only.  Details of events & holidays won will be notified to the winner after random selection and will be subject to specific dates and locations.  No cash alternative available.
